The starting point

World Wide Wood is a timber trader serving private and commercial customers in Germany, France, the Netherlands, Austria, Switzerland, Denmark and Luxembourg. Oak, larch, spruce, black locust – all direct from the mill partner. The case shows that one role is not enough: for deliveries inside the EU, World Wide Wood is a trader and submits no statement of its own. Exporting goods already covered by a declaration does not change that: there the obligations of a downstream operator apply, and at customs a TARIC code replaces the reference number. A statement of its own only arises where World Wide Wood places goods on the market for the first time – when buying from outside the EU, for instance. The role attaches to the flow of goods, not to the company – both must be modelled in parallel.

How we map it

World Wide Wood uses the Pro package. The entire mill-partner network maintains its forestry permits and geo coordinates itself through the online portal – in German, French, English and Danish. For each order the system recognises which role applies: trading and exporting goods already covered by a declaration need documentation only, first placing generates the due diligence statement automatically. The traffic light shows at any time where data for that is still missing.

The starting point

Holzhandel Häberlein is a family-run sawmill with its own stake production in the Erzgebirge mountains. The timber comes from the forests around Leipzig and the Erzgebirge; deliveries go nationwide. This is exactly where the December 2025 amendment changes things: anyone processing regional roundwood that has already been placed on the market is a downstream operator (Art. 2(15b)) – it is the forest owner, not the sawmill, who places it on the market first. Häberlein therefore needs no own due diligence statement and no risk assessment. What remains is collecting the information and keeping it for five years – traceability through processing is the real task.

How we map it

Häberlein uses the Pro package. Every oak log is captured at intake – location, forestry permit, batch. Where the forest owner is an operator themselves, the system takes over their reference or identification number; where they are not, the chain ends there (first touch, Art. 4(7)). The batch is tracked through processing into sawn timber and stakes. Only when Häberlein itself buys from a non-EU country does a statement of its own arise. The family stays in day-to-day business, not in paperwork.

When do I need to comply with the EUDR?
For the timber sector the 30 December 2026 applies throughout – including small operators. Under Art. 38(3) the extended deadline of 30 June 2027 – only for natural persons, micro and small undertakings established as such on 31 December 2024 – only applies to products not already covered by the old Timber Regulation (EUTR); timber and furniture were covered. We recommend starting earlier – then your suppliers have time to deliver their data.
What happens if I do nothing?
At worst a fine of up to 4% of EU-wide annual turnover or seizure of the goods. But: nobody wants that. We help make sure it never comes to that – with little effort.
Do I have to switch my accounting or ERP system?
No. Our solution runs alongside. You can import data via Excel or straight from your system. We provide connectors for common solutions like Business Central, SAP, Sage, DATEV, holzma and acadon.
Who actually needs a due diligence statement?
A Due Diligence Statement (DDS) is required for every business that places timber or timber-containing products on the EU market for the first time (so-called operators – e.g. importers, sawmills, first processors). They must create and submit their own DDS.

Anyone reselling goods already covered by the EUDR – acting as a trader (e.g. joiner or landscaper buying from a sawmill) – does not need their own statement but must accept the supplier’s statement reference, pass it on and retain it for five years.

All statements are submitted via TRACES NT, the official EU information system. The competent authority in Germany is the BLE (Federal Office for Agriculture and Food).
How quickly am I ready?
For Basic and Pro typically 2 to 6 weeks – including setup, supplier portal and first statement. For larger integrations 8 to 14 weeks.
Is my data processed in the US?
No. Servers are exclusively located in Germany. Everything is GDPR-compliant and encrypted. You get a data processing agreement – as it should be.
Can I see the solution first?
Yes. In a 30-minute walk-through we show you everything on your own case. As a pilot partner you start early and guided – before the obligation kicks in.
What happens if my supplier does not deliver the data?
You stay able to act. Step 1: automatic reminder to the supplier after 7 days. Step 2: escalation to you after 14 days, with a list of blocked deliveries. Step 3: you enter the data yourself – from invoice, permit or photo; the system reads the key fields via text recognition. Step 4: on request we handle the supplier contact directly, in their language. No delivery leaves the mill until the traffic light is green.
What if I have no time to deal with it?
Then we take care of it. We contact your suppliers – in multiple languages –, collect geo data and certificates and check everything for you. Available as an add-on from €500/month.
